About the Role
You would support the Finance Manager, and other members of the finance team, by managing the books of prime entry including; maintaining the company bank reconciliations, raising sales invoices, inputting sales and purchase invoices onto the accounting system.
You would:
Support the Finance Manager in the maintenance of the company bank accounts, preparing regular reconciliations of all accounts
Generate and issue all sales invoices, and liaise with our commissioners to ensure that payments are received in a timely manner. Follow up any disputes, and if necessary, draw to the attention of the Finance Manager
Ensure all invoices are coded correctly making sure that default codes are only used when appropriate
Assist the Finance Manager with credit control tasks
Raise housing management invoices, and take appropriate credit control actions over the housing management accounts
Ensure all purchase invoices are properly logged on the suppliers control sheet and assigned a unique reference number starting with PL
Check that the nominal code is visibly written on the face of all purchase invoices
Post the invoices to the purchase ledger, stamp them as posted and then forward them to the appropriate manager/budget holder for authorisation, using the Adobe Acrobat sign system
Collate all authorised invoices into a batches for payment
Prepare a payment run for the Finance Manager’s approval before generating a final payment run
Print remittance advices and attach to invoices and send batch for approval by Directors
Respond politely and promptly to supplier queries
Verify the monthly petty cash submissions of the Office Manager and Daycentre manager before posting to the cash book
Assist the Finance Manager with preparation of the input of timesheets for the outsourced payroll
Reconcile the Petty Cash account
Reconcile the Credit Card accounts, ensuring all entries are properly coded and entered onto the accounting system
Any other reasonable duties as may be required by the Finance Manager or Finance Director
Requirements
Minimum qualifications and skills
Essential
AAT qualification or Degree in Accountancy & Finance
Clear, fluent English speaker
Proficient in working with numbers and ability to perform basic calculations
Team player
Capable of working thoroughly and systematically under the supervision of the Finance Manager
Proficient in the use of IT (MS-Office, Internet and Emails)
Attention to detail
Eligibility to work in the UK
Desirable
Have a basic knowledge of elementary book keeping
Have a basic knowledge of office administration
